Registration and Training

Registration

All personnel working with minors in any event that meets the requirements of VT Policy 4815 must have certain training and background screening done. This includes Virginia Tech Departments and Non-University Organizations or entities. The first step is to obtain Youth Program Policy Compliance through the Virginia Tech Office of Youth Protection.

*Please note: Camps, programs and events are referred to in Ideal Logic as "Sessions" at times during the registration procedure. 

The Ideal-Logic online registry system will enable you to obtain VT Policy 4815 compliance. The system contains na walk through process of instructions and guidance to register all personnel working with minors in your event and enable background checks (see section below) to be completed on the required personnel. In addition, this system will enroll each adult working with minors in the training containing the modules detailed below. 

Non-university organizations and entities that operate programs or activities in University facilities or on University property, on or off campus, involving minors must conduct and provide documentation to the Virginia Tech Office of Youth Protection of criminal records checks of their employees, volunteers, and representatives that meet university standards. The university may request any additional information it deems necessary to meet the requirements of this policy. Non-university organizations should select "Community Log-In" when they enter the Ideal-Logic website in the link above.

Event Requirements

Program Administrators must ensure the following has been completed for all adults and volunteers before the start of the program, event or activity involving minors. Each form listed below should be collected by the Program Administrator.

  • All Tier I-III individuals must annually complete the online Safety and Protection of Minors Training and receive a passing score of 80%. (The Characteristics of "Grooming" for Sexual Abuse does not have an assessment)
  • Background checks are not required of Tier III individuals.
  • All Tier I-III individuals must submit the following forms:
    • Adult Emergency Contacts and Health History (Required for all adults and volunteers)
    • Standards of Behavior for Volunteers and Adults Working with Minors (Required sign off and submission)
    • Medication Report (if needed)

Background Checks

Volunteers or personnel working in Day style camps and events that have not had a background check completed within the last three years need one to meet the policy requirements in VT-4815. Over-night camps require volunteers and staff to have a background check each year. Follow the registration link found in the "Registration and Training" button to the right. Background checks will be ordered or confirmed already completed during that process. There is a fee for this service and the registration process will allow you to make this decision and give the proper information to ensure compliance.

 

Tiers of Supervision

A University Program is a program administered by Virginia Tech wherein minors are in the care, custody, and control of Virginia Tech during the program’s operation. The care and custody of minors requires a high level of responsibility. Training and supervision of minors will be governed by the following Tier System of Supervision:

Holds primary responsibility for running the program/activity and is accountable for ensuring others follow minimum standards set by Virginia Tech for interactions with minors. Will supervise minors and the interactions of Tier II and Tier III individuals with minors in youth programs.

May hold a supervisory role and be responsible to a degree for the program/activity. Responsible and accountable for self and meeting minimum requirements set forth by Virginia Tech for interactions with minors. Will supervise minors and Tier III volunteers. 

Group Setting Interactions only; Supervised at all times by Tier I or II personnel. May be from the community serving in volunteer roles with Virginia Tech or they may be Virginia Tech employees or students serving in a volunteer capacity not related to the requirements of their employment position.
